WhatsApp marketing tools: what you actually need

“WhatsApp marketing tool” covers three different things, and the reason comparisons get confusing is that vendors sell all three under one word. Sorting them out first makes the choice much easier.

The three categories

  • Free utilities. QR code generators, click-to-chat link builders, chat widgets for your website. Small, genuinely useful, and they do not need an account. Ours are on the free tools page.
  • Unofficial bulk senders. Extensions and desktop apps that automate WhatsApp Web. Cheap, and the reason people lose their business number. Covered in detail in our guide to bulk messaging.
  • WhatsApp Business API platforms. The real category. A shared inbox, campaign sending, templates, contacts, automation and analytics, built on Meta’s official API. This is what people mean when they say they need a WhatsApp marketing tool.

What an API platform should give you

Feature lists on vendor sites run to fifty rows and tell you very little. For a small team, these are the ones that decide whether the tool gets used after week two.

  • A shared team inbox. Multiple people answering one number, with assignment, private notes and full history. Without this you have rebuilt the personal-phone problem inside a browser.
  • Campaigns with segmentation. Not just broadcast to everyone. Tags and filters, so you can send the restock message only to people who asked.
  • Template management. Create, submit and track Meta approval without leaving the tool.
  • Automation. Greeting messages, away messages, keyword replies. Enough to cover the hours nobody is at a desk.
  • Contacts that stay yours. Import and export without friction. A tool that makes leaving hard is telling you something.
  • Real analytics. Delivery, read and reply rates per campaign, not just a total sent count.
  • Integrations. At minimum your store. Ours are listed on the integrations page.

The pricing detail most comparisons skip

Every API platform has two costs: the subscription, and the per message charge from Meta. Vendors compete loudly on the first and stay quiet about the second.

Meta bills per conversation. Many platforms resell those conversations with 10 to 20 percent added on top. That markup is invisible on a pricing page and grows with every campaign you send, so the cheap subscription is routinely the expensive tool. On serious volume the markup can exceed the subscription itself.

Boldally charges for the software and passes Meta’s rates through at cost. Put your own volume into the cost calculator and compare the total, not the headline.

How to actually evaluate one

Four questions that cut through most sales pages.

  • What is the markup on Meta’s rates? If the answer is not a number, it is not zero.
  • What happens when I hit the plan’s contact limit? Some plans price by contacts and get expensive as your list grows, which is exactly when you need it.
  • Can I export my contacts and conversations? Ask before you import them.
  • Who answers when something breaks at 9pm? A campaign that fails mid-send needs a person, not a ticket queue.
